Populate folders using metadata
You can move documents to folders populated by Custodian, Source, or File Path. When you perform this action, the system populates the folders using these metadata values and automatically moves the associated documents to these folders.
For a document, when there is no value in the selected metadata, the system moves the document to a folder named Missing <metadata name> in the specified path. For example, if you select the File Path option when performing this action and the selected document does not have any value in this field, the system moves this document to a folder named Missing File Path.
To move the documents to the folders populated using metadata, perform the following actions.
- In the Project page, click REVIEW.
- Select the documents to place in the folder.
- To select specific files, select one or more documents.
- To select all files, in the pane, click .
- In the pane, click .

In Organize Documents, select Folder by metadata.

In Metadata Type, select one of the following options:

Custodian

Source

File Path

When populating folders using File Path, you can control the number of subfolder levels that will be created by entering a number in Maximum Folder Depth. With this ability you can set a limit on how deep the folder structure goes, controlling the number of folders and subfolders created, as these might be extensive.
For example, if you supply a maximum of 3, this creates all folders for the main path level of the document population and two nested levels, or all folders within \folderlevel1\folderlevel2\folderlevel3, but not for subfolder levels under that path.

In Destination, choose the folder.
- To select an existing folder, in , select the folder.
- To add a folder, perform the following steps.
- Click .
- In the dialog box, in , type a name for the folder.
- Optionally, to add the new folder within an existing folder, in , click and then select the existing folder.
- Click .
- Optionally, to replace all files in an existing folder, select .

Click Submit.

When prompted to verify the action, click CONFIRM.
- To view the completion of the Folder job, on the left navigation pane, click .
- After the job completes, view the folder by performing the following steps.
- On the left navigation pane, click .
- Navigate to the folder. To show subfolders, click if available.
- Select the folder.
